General Purpose and Scope of Position:
In this key position, you’ll be responsible for supporting the day-to-day administrative needs of the Vice President and ensuring coordination between the ERM department heads. You’ll be essential to the internal and external communications for the department, managing calendars for maximum coordination and owning the department business processes.
Specific Responsibilities and Key Deliverables Include:
VP and Director Support:

  • Producing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Maintaining director’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Creating PowerPoint presentations from Director’s content.
  • Assisting with expense reporting.
  • Conserving director’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Representing the director by welcoming visitors, reviewing correspondence; arranging company dinners and other corporate functions; answering questions and meeting requests directed to the director.
  • Attending key meetings, takes notes and aggregating for distribution.
  • Provides support for expense reporting.
  • Enhancing director’s and department’s reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

Team Support:

  • Coordinating and synchronizing calendars for maximum efficiency in meeting times.
  • Working with corporate communications to develop news stories relevant to the department’s activities for publication; preparing and editing articles; designing graphic presentation; producing and distributing.
  • Identifying opportunities to stream line and/or ensuring lean office processes.
  • Coordinating and aggregating monthly activity reports and distributing.
  • Aggregating and keeping the master project list current.
  • Maintaining department website.

Desired Skills and Experience

  • Bachelor’s degree preferred
  • 10+ years’ experience supporting senior executives
  • Highly motivated self-starter; proactive and able to work autonomously
  • Experience providing support for technical professionals is a plus
  • Demonstrated high level of proficiency in Microsoft Excel, Word, and PowerPoint
  • Meeting and complex travel planning experience
  • Exposure to website maintenance and development
