Ajilon is currently seeking an Events Admin for our client located in NYC. They will have a hybrid work schedule starting in January. This is a contract role, as they need a strong candidate to help them through their busy season. The ideal candidate has an administrative background with experience coordinating and scheduling events and conferences.

Responsibilities include:

 Coordinate meeting preparation materials including badges, PowerPoint presentations, tent cards, registration lists;

• Manage conferences inbox and respond in timely manner to requests for registration, substitutions, and cancelations and process payments and refunds ;

• Assist Meeting Strategists and Senior Associates in the development of event materials;

• Assist uploads for mobile Apps for multiple events;

• Assist meeting participants with online registration or telephone registration;

• Provide effective and professional client interface and customer service in responding to client questions and requests;

• Work with team to coordinate shipping requests and track shipping manifest to events;

• Prepare necessary reports to track project meeting progress including rooming lists, registration reports, function space grids, meeting evaluations, etc.;

• Collect data from speakers and attendees including follow up;

• Proofread various event materials across multiple events;


 Bachelor's Degree strongly suggested and interest in Conferences and Events;

• Strong proficiency in Microsoft Excel, Word, & PowerPoint;

• Must be able to multi-task, prioritize and work in a high demand office environment with tight deadlines;

• Attention to detail and organizational, time management and problem solving skills are required;

• Experience with Zoom, Teams and quick to learn other virtual platforms;

• Work independently as well as collaboratively within a team environment;

• Communicate effectively, both orally and in writing to both internal and external clients;

• Prior experience in financial services or at an association is a plus.
