Is your background in admin operations? Ajilon is working with an established client in the Dallas area that is seeking an Operations Admin Analyst. We are looking for a candidate with a strong analytical background. You will be responsible for administrative tasks, such as filing, organizing, filling out maintenance vehicle insurance accident claims, and performing analysis of data in the maintenance system.

Operations Admin Analyst Responsibilities:

  • Prepare and submit insurance claims related to damage caused by accidents.
  • Assist the Roadway Maintenance Director in creating and maintaining the Annual Preventative Plan
  • Assist the Roadway Maintenance Manager in the review of daily Work Orders
  • Validate major components of the Work Orders such as the following: hours allocated on Work Orders are the same as the individual timesheets; Asset IDs are selected; applicable documents are attached; etc.
  • Assist the Maintenance Director in the monthly closings of VUEWorks which includes tracking maintenance activities, analyzing the man hours and applicable accomplishments for relativity
  • Analyzing efficiencies of VUEWorks, while providing updates and/or modifications to the system.
  • Provide support for analyzing RM costs (THORS CA-10) and for developing the RM benchmarking system related to cost for activities.
  • Prepare presentations, reports and other necessary documents to be used within the RM Department.
  • Responsible for organizing, maintaining, and updating training for Roadway Maintenance personnel.
  • Assist with helping developing policies and procedures within the Roadway Maintenance department.
  • Assist the Facility Coordinator in the management of the inventory. This includes invoicing, material counts and communicating the reports to the Accounting department.
  • Assist the Roadway Maintenance Manager in the process for invoice approval, including invoice coding as required.
  • Assist Legal Department with preparation of service agreements for sub-contractors.
  • Qualifications:

  • Minimum Bachelor's degree
  • Minimum 1-4 years of years of experience required
  • General knowledge of highway maintenance and engineering principles is a plus
  • Proficiency to Microsoft Teams, SharePoint, Excel, Word, and Power Point
  • Working knowledge of Microsoft Project and Visio
  • Effectively manage tasks, deadlines and individuals through vendor contracts
